Cancellation & Refund Policy
This policy explains how cancellations, make-ups, credits, and refunds are handled across all Frederick Footy programs, rentals, and events.
1. General Policy
- —This Cancellation Policy applies to all Frederick Footy programs, field rentals, events, and subscriptions, whether booked online, in person, or by phone.
- —By registering for or paying for any program, the customer agrees to the terms below.
- —As a general rule, all payments are final and non-refundable. Where a refund is not available, Frederick Footy will offer a make-up session, account credit, or transfer whenever possible.
2. Hourly Field Rentals
- —Rentals must be paid in full before field use.
- —Cancellations must be made at least 72 hours in advance to qualify for a reschedule or account credit.
- —Cancellations made within 72 hours may result in full forfeiture of payment.
- —No refunds or credits are issued for late arrivals, early departures, unused time, or participant no-shows.
3. Birthday Parties & Private Events
- —Event deposits and payments are non-refundable unless Frederick Footy cancels for operational reasons.
- —Rescheduling is allowed based on availability but is not guaranteed.
- —No refunds or credits are issued for late arrivals or early ending of an event.
4. Weekly Clinics & 6-Month Commitment Plans
- —Weekly clinic pricing is offered on a monthly or 6-month commitment basis.
- —Families who commit to the discounted 6-month weekly pricing do so in exchange for that full commitment.
- —Once a family commits to 6-month weekly pricing, payments are non-refundable.
- —Refund requests made before a 6-month commitment is finalized are reviewed on a case-by-case basis at the discretion of management.
- —If a player can no longer attend after committing, Frederick Footy may offer make-up sessions or training credits in place of a refund.
- —The 6-month discount is earned in exchange for completing the commitment. If a family withdraws early, no portion of the discount or paid fees is refunded.
5. Small Group Training & Recurring Subscriptions
- —Small group training and recurring subscriptions are billed on a recurring basis until cancelled.
- —To cancel a recurring subscription, the customer must notify Frederick Footy before the next billing date. Cancellation stops future charges but does not refund charges already processed.
- —No refunds or credits are issued for unused sessions within a billing period.
- —Sessions missed by the player may be made up within the same program at management's discretion, subject to availability.
6. Pickup Soccer & Drop-In Sessions
- —Pickup and drop-in registrations are non-refundable.
- —If a player cannot attend, they may request to transfer their registration to another session by contacting Frederick Footy before the session begins.
- —Cash-at-door registrations that are not paid may be released to the waitlist.
7. Non-Payment & Removal from Programming
- —Payment must be made in full and on time. If a scheduled payment fails or is not made, the player may be removed from the field and suspended from programming until the balance is resolved.
- —Frederick Footy reserves the right to suspend or terminate a player's participation for non-payment.
- —Outstanding balances remain due even after a player is removed from a program.
- —Reinstatement after removal is at the discretion of management and may require payment in full.
8. Make-Up Sessions, Credits & Transfers
- —In place of refunds, Frederick Footy's preferred remedy is a make-up session, account credit, or transfer to another program when a cancellation qualifies.
- —Make-up sessions and credits are subject to availability and must be used within the timeframe specified by management.
- —Credits and make-up sessions have no cash value and are non-transferable unless approved by management.
9. Weather & Facility-Initiated Cancellations
- —If Frederick Footy cancels a session or rental due to weather, emergencies, or operational issues, the customer will be rescheduled at no additional cost.
- —Refunds for facility-initiated cancellations are issued only at the owner's discretion.
10. Chargebacks, Governing Law & Acknowledgment
- —Initiating a chargeback for a charge that falls within this policy may result in suspension from future programming and recovery of fees.
- —This policy is governed by the laws of the State of Maryland, and any dispute will be handled in the courts located in Frederick County, Maryland.
- —By completing any payment or registration, the customer acknowledges and accepts this Cancellation Policy.
